Privacy Policy
This Privacy Policy describes how Sophyix collects, uses, discloses, and safeguards information when you access or use our services.
Sophyix is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you use Sophyix, including our websites, applications, and related services (collectively, the "Services").
Information Collection and Usage
Data We Collect: We collect account and profile information (such as name and email), posts and requests, messages and chat content, AI prompts (text and voice), and usage data, and support communications to provide and improve the Services.
Age-Appropriate Experience: Sophyix may tailor certain experiences based on age where appropriate. We collect and process information that is reasonably necessary to provide the Services, including personalization, account functionality, and safety features.
Data Minimization for Minors: For users under 18, we take additional precautions designed to limit the collection, use, and disclosure of personal information to what is reasonably necessary to provide, secure, and improve the Services. We do not knowingly collect personal information from children under 13 without a parent or legal guardian’s consent where required by applicable law. If we learn that we have collected personal information from a child under 13 without required consent, we will take steps to delete it and/or obtain the required consent.
Safeguarding Information
Security Measures: We use administrative, technical, and physical safeguards designed to protect user information, including encryption in transit where appropriate, access controls, and secure storage practices. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Parental Involvement and Control
Engagement and Transparency: We encourage parents and guardians to be involved in minors’ online activities and to discuss safe information-sharing practices. Where applicable, we provide tools and support to help manage account information and privacy settings.
User Rights: Users, and where applicable parents or guardians, may have rights to access, correct, or delete personal information, or to object to or restrict certain processing. Requests can be made by contacting us, and we may need to verify identity before responding.
How We Use Information
Service Delivery: To operate the Services, match people with work, process AI requests, and provide support.
Safety and Improvement: To monitor abuse, secure the platform, and improve features and reliability.
Express Hire, Invitation Rules and Auto Mode
Invitations Express Sends: Someone posting work can ask Express to invite people for their search (“Invite for me”). It does this only when they choose it. To decide whom to invite, Express uses your profile, your Work preferences and how well you fit their request. You answer every invitation yourself, unless you turn on Auto mode.
Labels From Your Invitation Rules: If you choose Shadow mode or Auto mode, we compare each invitation and offer you receive with your invitation rules and give it a label: “Fits your rules”, “Outside your rules” or “Your call”. No one else sees your rules or your labels.
Auto Mode: If you turn on Auto mode, it says “I’m interested” for you when an invitation fits your rules, and the person who invited you can see that Auto mode answered. It never accepts an offer: you accept or decline every offer yourself. We keep a record of the rules you agreed to and when, and of each answer Auto mode gives.
Automatic First Payment: The person sending an offer can choose to have the first payment charged to their saved card when the offer is accepted. This happens only when they choose it. We keep the sentence they agreed to and the result of the charge.
What Express Did: We keep a record of what Express and Auto mode did, such as an invitation sent, a label given or an answer Auto mode gave. It holds record numbers and short codes, not the text of a request.
The AI That Reads Requests: Express sends a request to OpenAI to understand it: the typed text, the text of a PDF, or a voice note, which OpenAI turns into text.
How Long We Keep Request Text: We delete the text of an Express request (the typed text, the voice-note transcript and the text read from a PDF) 90 days after its search ends, and at once when the account is deleted.
Updates to Our Privacy Practices
Continuous Improvement: We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. If we make material changes, we will provide notice as required by law, such as by posting the updated policy and updating the effective date.
